1. Who we are
OptiMAX (including the OptiMAX Home Loans and OptiMAX Coverage programs) is operated by OPTIMAX AI LTD, a company registered in the United Kingdom (No. 16143914). This policy covers all enquiry forms and services on leads.optimax-ai.com. When you submit an enquiry, we arrange your callback with the licensed specialist who handles your request. We are not a lender, broker, bank or insurer. We are a marketing company. We are not a law firm and we do not provide legal advice. Where an enquiry concerns an accident or injury, participating law firms and legal-marketing companies pay us for qualified enquiries; we do not select or recommend any individual attorney, and no attorney-client relationship is formed by using our sites. Florida residents can also use an independent service such as The Florida Bar Lawyer Referral Service (800-342-8011, Mon–Fri 8:00am–5:30pm ET). Contact: mike@optimax-ai.com.
2. Information we collect
When you submit an enquiry form we collect the information you provide: name, phone number, email address, state or postcode, and your answers to the enquiry questions (for example loan purpose, timeline, or coverage needs). We also record your consent (the consent text shown, a timestamp, your IP address and browser user agent) and standard analytics data such as cookies and advertising identifiers.
3. How we use your information
We use your information to (a) respond to and fulfil your enquiry, (b) connect you with one licensed professional who can help with your request, (c) send you the communications you consented to about your enquiry (including text messages, calls and emails), and (d) operate, measure and improve our service.
4. Information sharing
To fulfil your enquiry, we share the enquiry details you submitted (such as your name, contact details and enquiry answers) with the licensed professional handling your request, so they can follow up with you about the service you asked about. We also use service providers (hosting, messaging, analytics) who process data on our instructions. We may disclose information where required by law.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
In plain terms: we do not sell, rent or licence your information to data brokers, affiliate networks or unrelated marketers, and we do not pass it around a panel of buyers. What we do — and the only thing we do — is pass your enquiry to the one provider we have selected for that service (or, for accident and injury enquiries, to the participating firms described in section 5), so they can contact you about the enquiry you submitted. That provider may call, text or email you about it, which is what the consent box describes at the point you tick it. If you would rather they did not, reply STOP to any message or email us and we will remove you.
5. Marketing partners (accident & injury enquiries)
For accident and injury enquiries, the details you submit with your consent may be shared with the participating law firms, legal-marketing companies and their affiliates or clients named in the consent language on the form you completed, so they can review your claim and contact you about it. They may also be shared with our call-centre service provider, which contacts you on our instructions and may not use your details for any other purpose. Those firms pay us for qualified enquiries. We do not sell mobile numbers to unrelated third parties, and the opt-in record itself is never shared.
6. Text messaging (SMS) program
If you tick the consent box on an enquiry form, we may send you recurring text messages about your enquiry (confirmations, callback scheduling and reminders). Message frequency varies. 7. Consent verification (TrustedForm)
Our enquiry forms use TrustedForm, a service operated by ActiveProspect, Inc., to create independent proof that consent was given. TrustedForm may record your interaction with the form: the page as it was displayed to you, the entries you made, whether the consent box was ticked, the time, your IP address and device information. That recording is held by ActiveProspect as a certificate which we, and the partners who receive your enquiry, may retain for up to 5 years to demonstrate compliance with consent laws. 8. Tracking technologies
Our sites load the following:
- Meta pixel and Conversions API — measures which of our Facebook and Instagram ads lead to enquiries. Page views and enquiry events are sent to Meta from your browser and from our server.
- Reddit Ads pixel — the same measurement for our Reddit advertising.
- PostHog product analytics — page and click analytics, heatmaps and session replay so we can see how the forms are used. Everything you type into a form field is masked in replays and is not recorded.
- TrustedForm — the consent recording described in section 7.
To opt out: block or clear cookies and turn on tracking protection in your browser; control how Meta uses your activity at facebook.com/adpreferences; and email mike@optimax-ai.com to be excluded from PostHog analytics. We honour opt-out requests.
9. Data security & retention
We use appropriate technical and organisational measures to protect your information, and we keep it only as long as needed to fulfil your enquiry, meet our legal obligations (including keeping records of your consent), and operate our service.
10. Your rights (including California)
Depending on where you live, you may have the right to access, correct or delete the personal information we hold about you, and to opt out of the sale or sharing of your personal information. California residents may exercise rights under the CCPA/CPRA — including the right to know, the right to delete, and the right to opt out of sale/sharing — by emailing mike@optimax-ai.comwith the subject “Privacy Request” or “Do Not Sell or Share My Personal Information”, or by using the form at /do-not-sell. We do not discriminate against you for exercising your rights. For clarity, and regardless of any other disclosure: mobile phone numbers, text messaging originator opt-in data and SMS consent are never sold or shared with third parties or affiliates for marketing or promotional purposes.
